Job Description

  • Handling the PABX, attending incoming calls and facilitating the staff by connecting people through telephone on their request.
  • Update telephone directory on PABX as well excel Sheet.
  • Coordinate and communicate with all the employees of the company for conveying important messages.
  • Monitor lengthy calls keeping logs and report to Officer Administration and HRD Karachi.
  • Highlight issues to Officer Administration coming from internal staff in connection with apparatus and extensions or connections.
  • Coordinate with Officer Administration, telephone exchange personnel and PABX service provider to ensure effective and non-interrupted services.
  • Keep a log of telephone bills and forward to Officer Administration for timely payments maintaining payment history.
  • Escorting guest to meeting rooms and keeping guest arrival logs.
  • Call staff for visitors wanting to meet and making guest comfortably sit inside the room.
  • Coordinating with kitchen and Officer Administration to ensure guests are appropriately and promptly served.
  • Keep complete log of meeting room usage and meetings.
  • Communicate with relevant staff and Officer Administration in connection with booking of meetings rooms.
  • Maintain complete log of guests/ Supplier/ Maintain person coming to office for work or meeting.

Maintain logs of outgoing mails.

  • Maintain log of incoming mails and coordinate with Officer Administration and forward for payments process to Officer Administration after thorough checking and verification.
  • Coordinate with staff and ensure all outgoing mails are appropriately addressed to receiver with sender detail before dispatching.
  • Assists Officer Administration in arranging rental vehicles as and when required.
  • Maintaining Log of motorcycle/pool cars on daily basis.
  • Arranging taxi/van for delivery/rent a car on phone for staff movement on request of Officer Administration and process payment though him/her.
  • In absence of Officer Administration facilitate staff for all Administrative issue like movements, leaves, fuel payment, travel approval etc.
